FSSAI batch records: a practical guide.

Every food business operator registered under FSSAI is expected to be able to trace a product backward to what it was made from, and forward to where it went. That expectation shows up in two ways: a recall has to be possible in hours, not days, and an inspector has to be able to ask "what happened to batch X" and get a straight answer.

What a batch record actually needs to answer

Strip away the paperwork and a batch record exists to answer four questions: what went in, when it was made, where it went, and who touched it along the way. For a produce-and-sell manufacturer, that means:

  • The raw materials and their supplier lot numbers, tied to a GRN
  • The production date, production unit, and the operator or shift responsible
  • The finished batch code, applied at the point of production, not after the fact
  • Every transfer the batch made: unit to warehouse, warehouse to outlet
  • The outlet or customer the batch was ultimately sold to

Where batch coding breaks down on the floor

The common failure is not a missing policy, it is a slow one. If applying a batch code means stopping the line to fill out a spreadsheet, operators skip it under pressure, and the record has gaps exactly where a recall would need it most. The fix is not more paperwork; it is making the batch code part of the same motion as the weighbridge reading or the GRN scan, so recording it costs no extra time.

Weighbridge capture as the anchor point

Most produce-and-sell operations already weigh incoming material and outgoing batches. That weighbridge reading is a natural anchor: capture it directly into the GRN and batch record at the moment it happens, rather than transcribing it later. This removes the single most common source of gaps in FSSAI batch records: the delay between when something physically happened and when it was written down.

Traceability across production and outlets

A batch record that stops at the factory gate is only half useful. Regulators and, more practically, your own quality team need the batch traced through to the outlet or customer. That means the same batch code has to survive every transfer: production unit to warehouse, warehouse to outlet, outlet to the till. If those systems do not share a batch identity, the trace breaks the moment stock changes hands.
